In the version 5.6.5.999 release of Stockyard, a new feature allows agents to add their signatures to various reports, including the Pre Sale Summary Report and the Purchaser Post Sale Summary. This new functionality is located within the Address Book module. Below are step-by-step instructions to help you add your signature to the reports.

Signature Guide Overview

Before proceeding, you will need to scan and crop your signature. Follow these steps to create a signature image file:

  1. Sign your Signature

    • Using a thick pen or a dark marker, sign your name on one of the available signature spaces provided in the guide.

    • Ensure the signature is clear and legible for better quality in the report.

    • Edit the signature and using the Snipping Tool on your PC, crop the signature to the below specifications

  1. Scan the Signature

    • Scan the signature as an image file (JPEG format) and open it using an image editor like Paint.  Save the image as a JPEG Picture

    • Use the Snipping Tool (available on Windows) to crop your signature image. Ensure the crop is accurate to the specifications in the Signature Guide (you can access the guide by clicking the link below).

    How to Add the Signature into Stockyard

    Step 1: Access the Address Module

    • Go to the Address Book Module: Log into your Stockyard account and navigate to the Address Book module.

    • Search for the Agent: Use the dropdown menu to search for the specific Agent Name to whom the signature should be assigned.

Step 2: Load the Signature Image

  • Select the Agent: After selecting the agent, the Agent Code will appear on the right-hand side of the screen.

  • Load the Signature: Next, look for the option to load the signature image. Click the option to Upload the signature file.

    • Tip: Ensure the signature file is in JPEG format and cropped properly according to the specifications in the Signature Guide.

Step 3: Enter Agent Details

  • Type the Agent Name: After uploading the signature image, make sure to enter the Declaration Name in the corresponding field for proper identification.

Step 4: Verify and Print

  • Generate the Report: Once the signature is added, you can generate and print the report to ensure the signature appears correctly on the Pre Sale Summary Report or Purchaser Post Sale Summary.

Preparing Your Signature Image

You will first need a high-quality digital version of your handwritten signature. Follow these steps carefully to create the correct image for optimal appearance on reports.

Step 1: Clearly Sign Your Name

  • Print the provided Signature Guide for reference.
  • Use a black pen or dark marker to clearly sign your name on the printed guide or plain white paper.
  • Ensure the signature is clear and legible, as clarity directly impacts the quality of your reports.

NotesNote: A thick and dark signature will yield the best results after scanning.

Step 2: Scan the Signature

  • Use a standard scanner or multifunction printer to scan the signed paper.
  • Set your scanner to:
    • File type: JPEG image (.jpg)
    • Resolution: 300 DPI (high-quality setting for clear printing)
  • Save the scanned signature file to your computer, preferably in a convenient location (e.g., Desktop or Documents).

Step 3: Crop and Resize Your Signature using Paint

  • Locate the scanned signature JPEG image you just saved.
  • Right-click the file and select "Open With", then choose Paint.
  • In Paint, select the Rectangle Selection tool from the toolbar.
    Carefully draw a box around your signature, selecting only the signature itself and minimal white space.
  • After selecting your signature, click Crop to remove excess space around it.
  • Your cropped signature image should ideally be between 280 and 320 pixels high to ensure the best appearance on reports:
    • You can check the height by clicking Resize (in Paint), selecting Pixels, and viewing the vertical size.
    • If necessary, slightly adjust by cropping again until the image is within this recommended range.
  • Once you're satisfied, save your image clearly:
    • Click File > Save As > JPEG picture.
    • Rename the file clearly (e.g., AgentSignature_YourName.jpg) for easy identification later.
NotesImportant: Always double-check that your final image is clearly cropped and within the recommended height range (280–320 pixels high).

Uploading Your Signature to Stockyard

Now you're ready to upload your signature into the Stockyard system.

Step 1: Accessing the Address Book Module

  • Log into Stockyard using your credentials.
  • Navigate to the Address Book Module from the main menu.

Step 2: Select the Agent Record

  • In the Address Book, locate the correct Agent Name using the search function or dropdown list.
  • Click the Agent's name to open their record. You'll now see their details, including the Agent Code displayed on-screen.

Step 3: Upload Your Prepared Signature Image

  • Within the agent’s record, click on the option labelled "Upload Signature".
  • Browse your computer for your prepared signature JPEG image (AgentSignature_YourName.jpg).
  • Select your file and click Open. Your signature will now upload to Stockyard.

Reminder: Stockyard only accepts JPEG (.jpg) signature files at 300 DPI.

Step 4: Enter the Declarer Name

  • Once your signature is uploaded, enter the agent’s full name into the provided Declaration Name field.
  • Ensure the spelling is correct, as this name will be printed on your official reports.

Step 5: Verify the Signature on Your Report

  • Generate a Pre Sale Summary Report or Purchaser Post Sale Summary in Stockyard to test your uploaded signature.
  • Preview and print the report to ensure your signature displays clearly, is correctly positioned, and that the Declarer Name appears accurately.
