Adding a NVD / Vendor to a Livestock Sale

National Vendor Declarations (NVD) are important to track the origin of animals.  NVDs record the number of animals that have been transported and a declaration of their health . By the end of the Sale the received head must tally with the head count in the lots listed under the vendor declaration number.  Entering an NVD into a Sale has never been so easy.  There are two ways to add these in Stockyard depending on the amount of information available at the time of receiving the animals.

Once NVDs are added, animals are scanned into Stockyard, allowing the RFIDs to be verified on the NLIS database. Any discrepancies will be displayed in the Vendor Listing tab.

Steps to Add an NVD

This process will allow you to add a Vendor and their NVD to the Sale.

1.  Open/Create a Sale

2.  Click on NVD

The NVD button will take you to the NVD screen where you can add the Vendor's NVD to the Sale.

3. Add an NVD

You can freely add NVDs as you need to, by creating or selecting the the Vendor from your Address Book.
Multiple agents at a saleyard may create NVDs. Ensure you choose the agent from the dropdown next to Search or sign into the agent's employee profile to ensure NVDs are assigned correctly and prevent head count discrepancies.


How to Navigate the NVD Entry Screen

Normal NVD vs Shell NVD
If you do not have the NVD yet, you can use the Shell NVD option to specify the vendor in the sale. Use the Vendor Code or Vendor PIC to search for the vendor from the address book and save with just the Vendor Code and Vendor Number. This will allow you to create Lots and run any reports for the Vendor. Once you receive further information on the NVD, re-open the Shell NVD by clicking on it in the NVD screen to fill in the details as a Normal NVD. Alternatively, if you have received the NVD, use the Normal NVD option when creating the NVD.

Point 1 - Specify Vendor Details

Firstly add in your Vendor by using their Code or PIC to search for them. Vendor # will auto-populate. 
Specify if you wish to use a Shell NVD or an NVD (Normal NVD).
If you need to enter a new Vendor, click on the 'Vendor' button to open Address Book and add a new contact there. 

Point 2 - Confirm Declaration Type

NVD type - animal type: Cattle, EU Cattle or Bobby Calves or Sheep
NVD Version - the version number changes the layout of the screen and affects the NVD responses. 
NVD # (Declaration Number) - unique on each document.
NVD PIC - animals should match the vendor PIC to show origin.

Point 3 - Animal Detail

Number of Head - according to the NVD.
Received amount - physical count of animals arrived.
Optional:
Received Comment e.g. condition
Received Pen 
If you tab through from Number of Head to Received Amount this will prefillVerify it is still correct according to the physical count.

Point 4 - Husbandry Questions

Answers need to be completed as per original document. The questions will vary according to the NVD version and type
Tick the box to indicate if the NVD was LPA signed.
Extra information - note any other detail.

Point 5 - Additional Fields

Custom NVD questions can be set up to simplify the selection of common NVD questions specific to your region, such as GRASS FED and ANTIBIOTIC FREE. These questions are part of the information that must be declared in Step 4.

4. Save the NVD

Once you have entered the information, you can save the NVD.
After saving, a new NVD screen will be ready to populate which will allow you to quickly add NVDs as you enter them.
Click on Close when you are finished.


This process will start the NLIS ERP Check (LPA A etc.)

1. Open the NVD in the NVD screen.
2. Click on Inactivate.
This will hide the Vendor from appearing in Vendor Listing and in the Vendor selection of creating/editing a Lot.

1. Open into Vendor Listing tab.
It will be to the right of the Vendor, remember, you need to have Lots associated with the correct Vendor (this process is a way of validating your Lots).


How to change the Vendor of an NVD to another

1. Open into Vendor Listing tab.
2. Right-click the Vendor you wish to change to another and select Change Agent/Vendor.


3. Type in the PIC / Vendor Code of the new Vendor you wish to change to then click on OK.
