Using Export to Disc

Using Export to Disc

There are times when a report can only be generated on the screen or sent as an email but you might like to have the information in an excel format.  Using Export to Disk will export the data in a raw format to then be dealt with.

Step 1: Choose Output to Screen and generate the report.

Step 2: Select Export Disk to make text file.

When the report has been generated, click on the Export to Disk icon.

Step 3:  Save the file.

Step 4.  Open the Text File you have just saved.

i.  Select All the data by holding down Ctrl+A.
ii.  Copy all the data  Ctrl+C.

Step 5.  Open a blank worksheet in excel.

i.  With a blank worksheet open, use the down arrow to paste the text file using the Text Import Wizard.

ii.  Select Fixed Width.

iii. Tick My data has headers if you have headings you want to keep.

iv.  Check the data is segregated correctly in the columns.
v.  Insert the columns right before the letter of each heading if any are missing.  You can slide them around to fit as close as possible to the text.
vi.  Click on Next, check the data again, and then Finish.

You might need to fix things up a little bit in the worksheet but in general the data should be pasted into the excel sheet to reorder or use as needed.
