Import a CSV File

Importing a CSV File

Importing CSV files allows the user to bring animals and associated data into Stockbook.

Before you begin

Always take a backup of your Stockbook data before importing CSV files.

CSV files can corrupt so it is advisable to create a copy of a .csv file before opening the file to avoid loss of data or file corruption.

When saving a new file as a .csv, always choose CSV (Comma delimited) (*.csv)

Importing a CSV file

Select File > Import Options > Details from Data File


STEP 1. Select the File to Import by clicking the yellow file symbol. This will allow you to browse the computer for the file.

Select Open


STEP 2. Select the type/format/layout of the file needs to be selected.

The most used file is a Standard CSV file.


STEP 3. Set your import options allows you to customise how your data is imported into Stockbook.

For generic information/data that applies to all animals in the file, the default options tabs in step 3 can be completed.  However, if the .csv file has mixed data on animals the heading of the file will need to be linked in step 4.

For example, if all the animals in the file are ALL Male you can select Male in the Life Data Tab and there will be no need to link the Sex heading in step 4.


STEP 4.  Match the fields

Link the CSV file headings to the correct Data Type and Stockbook fields Stockbook.

Select OK

Select Yes to proceed

Importing a Custom File

If your file is in a custom format:- 

Select Custom File

Select Define Custom Layout

Select the header (green) by left clicking

Select first line of data (blue) by right clicking

The data is usually separated by a comma, so Comma is ticked below as the data separator.

Select Yes

Select OK 





Importing from a Tru-test indicator

If you are importing a file from a Tru-test indicator you will need to select <XR3000 file>

Notes

  1. You have the option to save the layout you have created to import a file; this function is useful if you intend to import files with the same layout in the future. Once you have saved a template layout it will also be listed in the drop-down list where you selected the type/format/layout of the file.   
  2. Most files will be of standard CSV format and so the program will default to this option. Standard format simply means that the data is separated by commas and the header row is on the first line of the file.
  3. You do not have to import all the fields contained in the CSV File Heading column. 
  4. It is recommended that when importing weight or trait data, you include an observation code (Obs.Code) for reporting purposes.
  5. If the animal being imported is not on Stockbook, an error will be generated and the animal will not be added. If the animal is a new addition to Stockbook the Add new tags box will need to be ticked.
  6. If the CSV file you are bringing in does not have the correct tag prefix, it can be added by adding it to the Tag Prefix box.
  7. If you have sex, breed or birth date linked in the General tab and a default value is chosen as well, the default will apply only to the animals that do not already have a value assigned to them in the file that you are importing.
  8. In the joining/Preg test tab you will need to set AI Join =, Pregnant=, and Backup= to equal what they are set as in your CSV. For example, if in your .CSV file you have used YES to signify that a female is pregnant, you are then required to set Pregnant = YES in this tab. Please note that these fields are case and space sensitive. For example, yes is not read the same as YES.
  9. Traits Tab - gives the option to Calculate (Calc) Frame Score on each animal if you are bringing in the Hip Height trait.
  10. Carcase Tab - allows you to select or add the abattoir from the drop down box. Tick the correct fields for Electrical   Stimulation (Elec.Stim),  Fat Trim,  Rib Site and Prices; add a Marbling Score Method, Dentition Category and Assessor.
  11. Carcase data can only be imported if the status is Sold or Disposed.
  12. Breedplan users only need to select the Dentition Category from the drop-down list and the Marbling Score from the drop-down list in the carcase details tab.
  13. If any errors occur with the import, you will be provided with a file that contains all of those errors. If you cannot fix these errors, please contact the Outcross Systems Support Team for assistance.
