How to use the find and replace function in excel

Using the find & replace function in Excel


Before importing Excel files into Stockbook you may need to find and alter some of the data. For Example: The data file has “Ewe” and “Ram” instead of “Female” and “Male”
Before making any alterations to your original data file, Save it as a New Document

Step 1. Highlight the Information

  1. Highlight the concerned column or information in a single column 
    1. Left click on the letter at the top of the column with e.g. Sex in it to highlight the whole column, or
    2. Left click and drag down to the end of the required information


Step 2. Select Find & Replace

  1. On the right hand side of the Home Ribbon, click on the Find & Select button
  2. Select Replace


Step 3. Set up Find & Replace Information

  1. Select the Replace tab (see picture below) 


  1. Enter the word that needs to be found exactly as it appears in the Excel file 
  2. Enter the replacement information 
    1. e.g. “Ewe” needs to be replaced with “F”
  3. Select Replace All and it will convert all these words within the selection
  4. The same can then be done for "Ram"
When Importing Animals into Stockbook:
Females need to be coded “F” 
Males need to be coded “M” 
Castrates need to be coded “S”


Step 4. Verify all Information is Correct

  1. Use the Find tab to search for all the instances of a word/number in the file
  2. In this example there are 15 ewes present
