How to Backup Stockbook

Backup Options

There are 3 ways to backup/save your data:
  1. On a local/network drive, or
  2. On a usb or external hard drive, or
  3. To Stockbook's Data Warehouse
Backing up should be done before any major changes are made to your data e.g. importing data.  
It is useful to perform a back up so that if the data being imported is not accurate, you can return to your original data and try again. Backing up a second time after you have made a major change is again useful to preserve the new data and protect it from future unwanted changes. 
Backing up regularly allows you to review data at particular points should you need to.

Step 1. Create the Backup

If you sync with other devices, do this before taking the backup.  This will save time doing the next sync sequence.

Click on File > Backup Database from the dropdown menu option 



                OR  Click on the Backup  button



Step 2. Browse to the Appropriate Drive Location

Click on the folder   icon to browse the computer for the appropriate backup location e.g. a removable storage device (USB flash drive, external hard drive), or a folder on your network.
Plug the device into your computer before clicking on the folder icon to browse .

Step 3:  Select the correct Folder



If saving to the C:\ drive Stockbook has a blank folder created in Documents.  If backing up externally, create your own folder. 

Click on the folder to select. e.g. Stockbook Backups
Click on the OK button
A unique Backup File Name will automatically be generated
You are not able to type a backup name. 
    Backup   File Name  consists of:
    1. Prefix e.g. Client ID
    2. Date e.g. 231113
    3. Number of backups e.g. -01
    4. File type .sbu
    5. Comment - optional

Step 4: Option 1 - Continue the backup without using Data Warehouse



Once the backup is complete, click on OK.



Step 4: Option2 - Backup to the Data Warehouse

  1. Tick the Send this file to the Data Warehouse if you wish to also backup to the Data Warehouse.
  2. Click on the Backup button to  save.


Step 5. Login to Data Warehouse

i. Click OK to the Information message:
'You will now be asked to login to the data warehouse server. Once logged in your backup will be uploaded.'

ii. To Login, enter your Outcross Systems Client Code and Password



iii. Click OK to continue.
iv.  You will be asked if you would like to password protect your back up.
Password protecting your backup is OPTIONAL but  not advisable.  If you forget the password the backup will be unusable.
There is absolutely no way a password can be retrieved.


v. Click on Next.
vi. You will then be asked to enter a backup file description e.g. TEST1 Backup 13.11.23

vii. Click on OK to complete the back up.
viii. Click  OK when you get the the information message: 'The File has been successfully uploaded to the server.'

The backup has now been saved to the Data Warehouse.
