Email Configuration Settings
This guide will assist you in configuring, editing, testing, and troubleshooting email settings within the Stockyard system.
Important Notes:
- Only one workstation should be set up with the email settings.
- Emails are sent only when Postman is running on the workstation with the configured email settings.
Email Configuration
Adding Email Settings
- Main Menu -> System -> Workstation
- Click on the Server computer where your main database is stored
- Click "New" where Devices are on the right-hand side
- Click the dropdown and find "E-Mail - E-Mail"
- Fill in the details from your Email provider:
- Click the ✔ to Save at top after you have entered the information.
- Then Click on Close to exit out of Workstation Maintenance
- If you get a popup saying, "Would you like to Apply your changes to Operations?", click YES
- Important - Need to restart Postman to make the changes take into affect. Right-click Postman on the taskbar and click Close window
- Then click on Postman again to open it and retry sending the emails
If emails failed and are sitting in Postman, they will attempt to send again after re-opening Postman
Editing Email Settings
- Main Menu -> System -> Workstation (this will open into Workstation Maintenance)
- Click on the Server computer where your main database is stored
- Click "E-Mail" to open the Email Settings screen (if you don't see it, refer to the guide above to add the email)
- Edit the settings in these details (provided by your Email provider):
- Click the ✔ to Save at top after you have entered the information.
- Then Click on Close to exit out of Workstation Maintenance
- If you get a popup saying, "Would you like to Apply your changes to Operations?", click YES

- Then click on Postman again to open it and retry sending the emails

Testing the Email Configuration Settings
After making changes to the Email Settings, you need to close Postman
- Open Postman
- Click on Queue Setup
- Find Email under the Queue Name
- Check the Print Test checkbox (as noted in image below)
- Click Accept
- Enter the email address to send the test email to and click Accept
- The test email will appear in the queue with the status Sending
- Once the email disappears from the queue, it has been sent successfully.
Troubleshooting & Handling Errors
- Open Postman if it's not already open.
- Review any error messages under the Status column when sending emails
Common errors and solutions:
- Authentication Failed: Verify your username and password in the email settings.
- Connection Timed Out: Check your internet connection and SMTP server details.
- SSL/TLS Errors: Ensure the correct encryption method is selected based on your email provider's requirements.
After making corrections:
- Restart Postman to apply changes.
- Retry sending the emails.
