AWA (Australian Wagyu Association) Calf Registrations from Stockbook to Helical
The following outlines the process of exporting calf registrations to AWA from Stockbook via the Helical portal.
A: Exporting calf registrations from Stockbook
- Select animals to be registered with AWA
- Select File > Export options > Calf registrations
- Set the registration status to all animals. There are 2 options:
- Set registration Status for all, or
- Click the drop down arrow next to each animal individually and select the appropriate registration status.

Note:
Only calves that died within the first 48 hours or stillborn will receive a calf fate of D.
It may be worth selecting animals on the main screen based on registration type and bulk applying, creating separate files for each registration type.
- Click Export
- There is now an option to select the location you wish to save the file or leave it as the default location (your documents/ Stockbook folder)
Note:
AWA have removed current mating details.
- Click OK
- Click Yes to the following message
- Click Yes if you wish to print a copy of the export
- Click OK to the possible errors if any. This gives an opportunity to click on each error to see which animals the error refers to.
- Click Close at the top of the screen to exit the error list.
- Click OK to the Export complete message.
Error Message
There may be a number of popup errors referring to society
details, ear tags etc.
These error messages do not cause
the registration process to abort.

Errors will be broken into severity. It is important you
take note of the errors on this window as they may impact the data exported in
your registration file.
- Ear tag will be in reference to the animals tattoo in basic
animal details.
- Joining details will be a reflection of the joining details
of the dam. Check the dam has a joining to the desired sire for that expected
time frame.
Please check your exported CSV file.
- The row without mating details is due to the previous error
where joining details are not available.
- Where no bull out date is supplied, the date will revert to 1899. To avoid this please ensure date out for natural matings is entered.
- There are two option with regard to a recipient society ID ;
- Use the AWA Ident if the recipient is already in the system.
- If new, supply the tag ID and AWA will assign a AWA ident for that Dam.
Note: Avoid using the word Recipient, Recip. or variations, as they may not be
sufficiently unique.
B: Importing
the Calf Registration form to the Helical Portal (AWA)
- Using
your login details, log in to the Helical Portal
Once
on the dashboard, select Import Data > Animal Registration -
Herd recording program.csv
- Select Load Data
- Select Upload Foile
- Click to select the Stockbook file from your file explorer
- Leave Delimiter as Auto
- Click Add data
- Select Next
- Select Submit
- The Submission will now be listed as pending for review by AWA
