3rd Party Clients in Stockyard

Introduction

In Stockyard release 5.6.0, we introduced 3rd Party clients, a feature that allows you to include them in Livestock Sales under Scheduled 3rd Party Reports. This function enables automated distribution of sale-specific reports to individuals or companies (3rd Party clients) who need sale information without being directly involved as agent, buyer, vendor, or contractor.


Setting Up a 3rd Party Client in the Address Book

  1. Locate or Create the Client: In the Address Book, either create a new contact or locate the existing 3rd Party client.

  2. Access 3rd Party Control: Open the client’s profile, and on the right-hand side, click on 3rd Party Control.

  3. Click on Reports (NEW)

  4. Configure Report Preferences:

    • Enter the client’s email address or select the email from the list on the right.
    • Select the specific reports they should receive, as you would for a Purchaser or Vendor under Scheduled Reports.
    • Choose the relevant reports and sale types the client needs.
  5. Save Changes: Once you’ve selected the appropriate reports and sale types, click Ok.


Sending Reports to 3rd Party Clients in a Sale

  1. Navigate to the Reports Screen: Within a sale, go to the Reports section.

  2. Select Scheduled 3rd Party Reports: In the General tab, click on Scheduled 3rd Party Reports at the bottom of the screen.

  3. Send Reports: Complete the report-sending process as you normally would.

Missing the 3rd Party Scheduled Report?

Important Notes

  • Inactivation: Marking a 3rd Party client as inactive will remove them from the selection list.
  • Report Restrictions: If a 3rd Party client is deselected for a specific sale type, they won’t appear in the report list for that sale type.
  • Unlimited Clients: There is no limit to the number of 3rd Party clients you can add.

This setup ensures that key stakeholders who are not buyers, vendors, or contractors still receive essential sale information tailored to their needs.
